Speed to lead: how to stop losing enquiries from Google and Meta ads

You pay for every enquiry your ads bring in. Here is where those leads go cold, and a simple system that answers every one while the person is still interested.

The short answer. Respond to every new lead within minutes during the hours they arrive. Capture leads automatically, give each one a single owner, alert that person instantly, and keep following up until the lead buys or says no.

Why the first response matters

Someone who fills in a form or sends a message is interested right now. They are often comparing a few options, and the first business to respond helpfully has the best chance of the conversation. Every hour of delay gives their attention time to move on: to another search, another ad, or a competitor who called first.

For businesses that run ads there is a second cost. Every lead has already been paid for, so a slow response doesn't only lose a sale; it wastes the ad spend that produced the lead.

Where leads usually get lost

  • Leads from different sources land in different places: Meta lead forms, website forms, WhatsApp and calls.
  • A shared inbox or WhatsApp group where everyone assumes someone else has replied.
  • Enquiries that arrive after hours or at the weekend, with nobody responsible for them.
  • No record of attempts, so a lead who didn't pick up once is never called again.
  • Spreadsheets updated at the end of the day, by which time the lead has gone cold.

A simple speed-to-lead system

  1. Capture automatically. Connect every source, including Meta and Google lead forms, website forms and WhatsApp, so new leads land in one CRM within seconds.
  2. Give each lead one owner. Assign it to a named person by simple rules: source, product, area or turn by turn.
  3. Alert instantly. The owner gets a phone or WhatsApp alert the moment the lead arrives.
  4. Make the first contact useful. Confirm what they asked about, answer one question well, and agree a next step.
  5. Follow up on a schedule. If they don't answer, the next attempt is set automatically, for example later the same day, the next day and two days after, by call and WhatsApp.
  6. Record every outcome. Each attempt, conversation and result is logged on the lead.

What to measure

  • Time to first attempt during working hours, tracked every week.
  • Contact rate: the share of leads you actually spoke to.
  • Leads with no next action: this number should be zero.
  • Sales by source: which ads and channels produce buyers, not just form fills.

Close the loop with your ads

Once your CRM records which leads became customers, send that information back to Google Ads and Meta as offline conversions. The platforms can then optimise for people who resemble your buyers rather than anyone who fills in a form, which is how lead quality improves over time.

Speed-to-lead checklist

  • Every lead source flows into one place.
  • Every new lead has one owner within a minute.
  • Owners are alerted instantly on their phones.
  • There is a short, helpful first-contact script.
  • Follow-ups are scheduled by the system, not remembered.
  • Every outcome is recorded on the lead.
  • Sales are reported back to Google and Meta.
